HR Administrator (Temporary Position)

One of the two HR administrators in the department will be on parental leave, and we are now looking for her substitute.

As an HR administrator with us, you will work with qualified HR administration at a departmental level and, together with your closest colleague, be the HR department's expert in the HR administrative area. You will have a holistic perspective in your work and contribute to ensuring that the department has HR administrative processes and routines that are updated as needed and are sustainable over time.

Responsibilities

Your tasks span the entire HR administrative area and are mainly operational in nature, but also consultative and development-oriented. You will play a central and important role in recruitment processes and quality review documentation for new and modified employment contracts within the department. You will contribute to seamless HR administrative processes through close collaboration and regular dialogue with managers and administrators at our high schools and in adult education.

As a colleague in the HR department, you will work closely with HR consultants and managers in the department and contribute administratively in several areas. For example, you will work with record-keeping and archiving of HR-related documents as well as preparing various types of materials and reports. Tasks and working methods change over time, and together with managers and colleagues in the HR department, you will identify areas for development and contribute operationally to improvement work.

As part of your assignment, you will provide HR administrative support to managers in the education office and guide them in all HR administrative processes and handle cases in HR administrative system support.

You will represent the department in Malmö city-wide networks and forums and ensure that relevant information is tailored to the target audience, communicated, and implemented within the department.

Qualifications

Requirements:

  • High school diploma
  • Experience in independent HR administrative work
  • Experience working with HR administrative IT systems
  • Experience providing consultative support and concrete guidance to other functions (preferably managers and administrators) related to their HR administrative tasks
  • Experience actively participating in development work within the HR administrative area
  • Very good digital competence, meaning it is natural to use digital tools as working instruments and to familiarize yourself with new digital programs and systems
  • Good knowledge of Swedish in speech and writing.

Desirable:

  • Post-secondary education in the HR administrative area
  • Experience in HR administrative work in Personec P.

About the Workplace

The HR department consists of a total of 15 employees who professionally provide management support and guidance to the managers of the operations in questions that span the entire HR area. The department is led by an HR manager and a unit manager. As an HR administrator, you will belong to the recruitment and HR administration unit.

The Gymnasium and Adult Education Administration is one of three school administrations in Malmö city. We are responsible for the development and implementation of high school and adult education. Today, we have nearly 1700 employees and are located throughout Malmö. We work to ensure that young people and adults achieve their educational goals and become active members of our society.
